Position Summary
We are seeking a proactive and detail-oriented Administrative Assistant or Executive Assistant to
support the CEO and help streamline daily operations. The ideal candidate is highly organized,
tech-savvy, and comfortable wearing many hats in a fast-paced environment. This individual will
play a key role in enhancing efficiency across executive scheduling, project tracking,
communication, and general office operations.
Key Responsibilities
Executive Support:
- Manage and maintain the CEO's calendar, schedule meetings, and coordinate travel.
Administrative Assistant / Executive Assistant

- Serve as the primary point of contact between the CEO and internal/external stakeholders.
- Prioritize and manage multiple projects simultaneously while following through on issues in a timely
manner.
Project Coordination:
- Assist with scheduling and tracking project timelines, milestones, and deliverables.
- Collaborate with team members to ensure deadlines are met and progress is reported accurately.
- Proficiency with project management tools (e.g., Asana, Trello) is a plus, but not required.
Client Communication:
- Draft and respond to emails and client messages professionally and promptly.
- Help coordinate meetings, proposals, and follow-ups with both active and prospective clients.
Marketing & Social Media:
- Support the creation and scheduling of marketing content including newsletters, social media
posts, and promotional materials.
- Help maintain a consistent brand voice across all external communication channels.
Accounts Payable & Office Tasks:
- Assist with entering invoices, organizing receipts, and monitoring due dates.
- Training will be provided on accounting software (e.g., QuickBooks).
- Oversee general office duties including ordering supplies, organizing files, and managing
workspace needs.
- Coordinate with vendors and service providers as needed for office-related operations.
Qualifications
- Proven experience as an executive assistant, administrative assistant, or similar role.
- Proficiency with Microsoft 365 (Word, Excel, Outlook, Teams).

Preferred (but not required)
- Background in IT, technology, or professional services firms.
- Experience with graphic design tools like Canva or Adobe Creative Suite.
- Familiarity with social media scheduling platforms (e.g., Buffer, Hootsuite).
